Capture: Transcribe Meetings Without a Bot or Recording

How to transcribe meetings without a bot joining the call. Optiverse Capture provides live, invisible meeting transcription at the OS level — no recording, no participant alerts, no intrusion.

How to Transcribe Meetings Without a Bot or Recording

Most meeting transcription tools require a bot to join your call. Participants see the bot in the attendee list, get notified it's recording, and the dynamic of the conversation shifts. Optiverse Capture takes a completely different approach.

Capture transcribes meetings at the operating system level — listening to your device's audio output directly. No bot joins. No one is notified. No audio or video file is stored. You get a full, high-accuracy transcript without changing the meeting experience for anyone.

Beta Access — Optiverse Desktop (including Capture) is currently in beta for both macOS and Windows. Request early access at optiverse.app to be among the first to try it.

Why Transcribe Without a Bot?

Adding a recording bot to a meeting creates friction:

  • Participants behave differently when they know they're being recorded
  • Sensitive conversations (1:1s, performance reviews, negotiations) feel intrusive with a bot present
  • External stakeholders may refuse to proceed when they see an unfamiliar participant
  • Ad hoc calls that aren't on the calendar can't be auto-joined by a bot
  • Compliance policies in some organizations prohibit third-party participants

Capture eliminates all of these problems. The meeting happens naturally, and you still get every word transcribed.

How Capture Works

  1. Open Optiverse Desktop and start Capture before or during your meeting
  2. The app listens to audio playing on your device — works with any platform: Zoom, Teams, Google Meet, Webex, phone calls routed through your computer, or any other audio source
  3. As participants speak, the transcript appears live in the app
  4. When the meeting ends, stop Capture
  5. Optiverse processes the transcript and generates your recording page with a full AI summary, action items, and OptiAgent access

The live transcription view shows each speaker's words in real time, color-coded and attributed to participants. Use the Stop button when the meeting ends to finalize processing.

Use Cases: When to Use Capture

Transcribe calls without anyone knowing you're taking notes

Perfect for sensitive 1:1 conversations, client calls, or internal discussions where a visible bot would change the dynamic.

Get meeting notes from platforms that bots don't support

Capture works with any audio playing on your device — including niche conferencing tools, webinars, phone calls, and browser-based meeting platforms that traditional bots can't join.

Transcribe impromptu or unscheduled meetings

A colleague calls unexpectedly? A quick huddle starts on Slack or Discord? Start Capture instantly — no need to invite a bot or have the meeting on your calendar.

Record follow-ups and action items without recording the meeting

Many teams want the transcript and AI-generated action items but don't need (or aren't allowed to keep) an audio/video recording. Capture gives you the intelligence without the file.

Stay compliant in regulated industries

In industries where adding third-party participants to calls requires legal clearance, Capture lets you transcribe without introducing another entity into the meeting room.

Transcription Quality

Capture uses the same AI transcription engine powering all of Optiverse:

  • 45+ languages and dialects with automatic detection
  • Speaker diarization to attribute speech to individual participants
  • Custom Dictionary support — add industry terms, product names, and jargon at Settings → Custom Dictionary to improve accuracy
  • Same post-processing pipeline that produces summaries, action items, and OptiAgent-ready content

What You Get After a Capture Session

Every Capture session produces the same rich output as a bot-recorded meeting:

  • Full transcript on your recording page
  • AI-generated summary based on your active protocol
  • Extracted action items and decisions
  • Full OptiAgent access to query the meeting
  • Sharing with team members and push to integrations

The only difference: there's no audio/video player on the recording page since no media file is captured.

Q&A

Q: Is it legal to transcribe meetings without a bot?

A: Yes. Capture is live transcription, not recording. This is a critical distinction. No audio or video file is ever created, stored, or transmitted. Capture simply converts spoken words into text in real time — the same way a human taking handwritten notes during a meeting would. Since there is no recording being made, the legal frameworks that govern "recording consent" (such as two-party consent laws) do not apply in the same way. You're taking notes — just faster and more accurately than you could by hand.

That said, transcription policies vary by organization. Always ensure you comply with your company's internal meeting documentation guidelines.

Q: Does Capture work with headphones?

A: Yes. Capture listens to the system audio output, which includes audio routed to headphones, speakers, or any other output device. It doesn't matter how you're listening to the meeting — Capture picks it up.

Q: Can I use Capture and the note-taker bot at the same time?

A: Yes. They operate independently. You might use the bot when you want video recording and Capture as a lightweight backup, or use Capture alone when a bot would feel intrusive. Both produce the same rich output (transcripts, summaries, action items, OptiAgent access).

Q: Does Capture drain my battery?

A: Capture is optimized for low resource usage. It runs lightweight processing locally while leveraging cloud AI for the final transcript processing, keeping CPU and battery impact minimal. You won't notice it running.

Q: What happens if my internet drops mid-meeting?

A: Capture continues processing audio locally. The transcript is synced and processed by Optiverse once connectivity is restored.

Q: Does Capture work with phone calls?

A: Yes — as long as the call audio plays through your computer (e.g., via a softphone app, Bluetooth routing, or speakerphone picked up by your mic), Capture transcribes it like any other meeting.
